Festival budget template

Festivals rarely fail on the idea and often on the money. With this budget you line up all your line items and income side by side, see the difference between committed and spent, and know where your break-even sits. The example amounts assume around 500 visitors, adjust them to your own festival.

How to use it

Frequently asked questions

Is this template really free?

Yes. You can download it straight away, without an email address or account. Use it however you like for your own festival.

What format do I get it in?

As a print-friendly PDF and as a CSV you can open in Excel, Google Sheets or Numbers.

Can I adapt it for my own festival?

Absolutely. Treat it as a starting point: change the rows, amounts and items entirely to fit your scale, venue and programme.

How do I calculate the break-even point of a festival?

Break-even is the number of visitors at which your income covers your costs. Roughly: divide your fixed costs by the contribution per visitor (ticket price plus bar and catering revenue per visitor, minus the variable costs per visitor). In the template you can see it quickly by adjusting the example amounts to your own ticket price and expected turnout.
