The system
One system that carries your whole festival.
From the first idea to the final settlement: planning, permits, money, crew, programme and the day itself live in one environment that moves in real time. No scattered spreadsheets contradicting each other.
A glimpse of the system
with sample data, liveThis is how it will feel.
The runsheet below genuinely follows the clock. That is how everything here works: the system does not wait for a refresh, it lives.
Sales run through your own ticketing partner; the numbers live inside the system.
23 of 26 shifts filled for Saturday
Every edition gets its own site on a subdomain. One line of configuration, no new project.
This summer the big pilot runs: the system is tested in practice, from location scouting to final settlement. The public launch follows, at ADE 2026.
The structure
Five movements, nineteen modules.
Every module is a screen in the app and a link in the whole. Change something in one place and it is correct everywhere, from the budget to the runsheet.
Preparation
Planning with milestones, the permit file with deadlines, suppliers with contracts and load-ins, transport and the budget adding it all up.
People
Crew and volunteers with shifts and gaps that expose themselves, artists with riders and fees, and a team board where you drag people into departments.
Audience
The timetable you publish per day, ticket numbers through your own ticketing partner, and soon the festival site and marketing per edition.
The day itself
The live runsheet with NOW marker, food and drinks with stock alarms, incidents with follow-up. On every phone, even with mud on the screen.
Afterwards
Evaluation and archive: what went well, what needs to change, and an edition you copy next year instead of starting over.
All nineteen modules
Every module has its own page: what it does, how it connects and frequently asked questions.
Roles & departments
Everyone sees only their own work.
A festival organisation is not an office. The tech crew does not need to see the sponsor deals, and the bar team does not need the permit file. The system handles that by itself.
Three roles
Owner and organiser see everything. Team members see the modules of their own departments, and nothing else, even if they guess the link.
Drag your team into place
The team board works like a festival site: cards per department (tech, bars, safety, programming) and phases for build-up and breakdown. Drag people in; department heads get a crown.
Volunteers sign themselves up
A quiet form on your festival site puts sign-ups straight into your crew list, source included. No retyping emails.
Money stays private
Budget and deals are only there for the people responsible. Anything on big screens, like the office display, deliberately never shows amounts.
Money
The budget counts along with every decision.
Not updating a spreadsheet once a month, but knowing where you stand in real time. Every supplier and every sponsor deal counts immediately.
Committed versus spent
The difference between "signed" and "paid" is, at a festival, the difference between sleeping and lying awake. You see both, per line.
Music rights reserved
The system automatically includes the Buma/Sena reservation in your budget, so that invoice after the festival is never a surprise.
Scenarios side by side
350, 500 or 650 visitors: you see per scenario what happens to your balance before you decide.
AI producer
A producer that knows your whole festival.
The AI producer reads along with everything, live: tasks, deadlines, budget, roster, stock. It scans for risks as a watchdog, writes drafts (runsheet, safety plan, sponsor proposal) from your real data, and proposes tasks you create with a single tick.
"Six permit items are approaching their deadline and the application must be in 19 weeks before show day. Shall I prepare the submission?"Proposing, never deciding: you remain the producer. Read how the AI producer works → or dive into the guide on AI at your festival.
Beyond the app
The system travels with you.
In your own calendar
Every deadline, shift and soundcheck as a subscription in Google Calendar or Apple Calendar. Crew and artists get their own feed with only their moments.
On the production office tv
The office display shows the countdown, open tasks, the calendar and the line-up, refreshes itself and deliberately never shows money.
Installable on your phone
The app installs as a real app on your home screen. On festival day the runsheet simply lives in your pocket.
Its own site per edition
Every edition gets its own public site on a subdomain, volunteer form included.
Seeing is believing
This is not a brochure.
Everything above already runs in the real app today. In a thirty-minute demo you see it live, starting from your situation.
